Retention and disposal schedule

The University’s retention and disposal schedule lists the types of records produced as part of University activities and identifies how long these records should be retained for.

The retention periods in the schedule are based on legal, contractual, or regulatory requirements where applicable, and in all cases on operational needs and sector guidance. 

The schedule covers all records, irrespective of medium, and should be applied to both electronic records as well as physical records.

The schedule is a control document that aims to do the following:

  • promote control over the University’s records
  • enable staff to dispose confidently of records that are no longer needed
  • ensure the retention of the minimum volume of records consistent with economy and efficiency

Accessing the schedule

Staff should access the SharePoint version of the schedule by searching ‘retention and disposal schedule’ on the intranet.
