Student Guide to Exams

What you need to know

  • Exams at MMU are governed by a set of regulations, which staff and students must adhere to. You can read the guidelines in full here:
  • Carefully check your exam timetable and ensure that everything is as you expect. If you have any problems, contact the Student Hub.
  • Make sure you know where your exam venue is in advance.
  • On the day of your exam, you should arrive in plenty of time, and at least ten minutes before the scheduled start time of the exam. However, please bear in mind that at some venues you will be required to wait in an uncovered area outside the venue before being admitted.
  • You will have a seat assigned to you, which you must sit at. Check the seating plan, which will be displayed on the wall outside the exam room to find your seat.
  • You will not be allowed any personal belongings at your desk. All bags and coats must be left in a designated area away from the desks. If you wish to wear your coat, you can do so, but it must not be hung on the back of your chair.
  • It is strictly forbidden to have a mobile phone anywhere on your person. These must be placed away from the desk with your personal belongings and must be switched off. Any other devices capable of communication or of connecting to the internet, such as smart watches, are also prohibited.
  • Students may be asked to remove any item of clothing that obscures their face while invigilators check their ID. Female students wearing a veil will be asked to identify themselves privately to a female invigilator.

What to bring with you

  • Pens and pencils, either loose or in a clear pencil case. Pencil cases, which are not clear, will not be allowed at your desk.
  • Bottled water only. You are not permitted any other food or drink in the exam room.
  • Your Student ID card. If you do not have an ID card, go to your nearest Student Hub where you can request a new one, free of charge. If you do not have your Student ID card on the day of the exam, please bring another example of photographic ID such as your driving licence or passport.
  • You should only bring other materials such as dictionaries or calculators if they are specifically allowed for your exam. Check with your tutor if you’re unsure.

During the exam

  • Your exam will be managed by a team of invigilators. They are there to assist should you have any queries. If you need to speak to an invigilator, you must raise your hand.
  • You must follow the instructions of the invigilators at all times.
  • If you are late, you will be allowed into the exam if you arrive within the first half hour. If you arrive any later than the first half hour, you will not be permitted entry. You may wish to consult the Exceptional Factors guidelines.
  • There is only limited access to toilet facilities in exam venues. Please make sure you visit the toilet before your exam is due to start. If you must go to the toilet during the exam, you must raise your hand and wait to be accompanied by an invigilator. Interruptions during the exams disturb other students. You will not normally be allowed to go to the toilet in the first 15 minutes or last 10 minutes of the exam.
  • Invigilators have the authority to ask you to turn out your pockets before entering the toilet. If you refuse to do this, it will be reported to your faculty and it may be inferred that you are carrying unauthorised material.
  • You will not be allowed to leave the exam early in the last 15 minutes.
  • Invigilators will announce when the exam has started and when there are 15 minutes left.

At the end of the exam

  • You must remain seated until you are told you can leave.
  • Please leave quietly. Remember that there may be other students still sitting exams nearby.
  • Please take all rubbish with you.

Exam Support for students with injuries/short term conditions

Where possible all requests for any adjustments to examinations as a result of an injury/short term condition must be submitted via the Exceptional Factors process. These include:

  • last minute requests
  • one-off adjustments relating to a specific exam/exam period

The Student Support Officers (SSOs) are your first point of contact for injuries/short term conditions; they can provide you with advice, guidance and can refer you to other services on a case-by-case basis. The SSOs have an up-to-date knowledge on student regulations and University level procedures and can help you make informed choices by discussing the options available to you based on your individual circumstances.

Injuries/short term conditions (excluding Mental Health)

If your request is based on an injury, illness or other short-term condition, you should complete the Exceptional Factors form and submit this in accordance with the Student Guidance on Exceptional Factors.

The Exceptional Factors Panel/Chair will have access to guidance on adjustments and will consider requests based on the impact the condition has on you.

Please note: The exams team will endeavour to put in place any agreed adjustments, however, this may not be possible if there is insufficient time/resources to do so.

Mental Health related conditions (e.g. Anxiety, Panic Attack, Depression)

There is a wide range of support available from the Counselling, Health and Wellbeing Service which can benefit students during the exam period. Students are strongly advised to access the support available to help develop coping strategies, especially if examinations are known to exacerbate mental health related symptoms. Students can contact the Counselling, Health & Wellbeing Service directly at any time for advice and guidance. If you have a short term mental health related condition which is likely to impact on your performance in exams, the SSOs can explain exam regulations and the options available to you, including referrals to the Counselling, Health & Wellbeing Service. The Counselling, Health & Wellbeing Service can give you advice on the range of support available to help develop coping strategies, this could include podcasts, self-help leaflets, courses & workshops, 1-1 appointments as well as referrals to sources of immediate help e.g. GP, A&E.

If you have an exam within 72 hours and have not been able to access support from the Counselling, Health & Wellbeing Service and believe there will be an impact on your performance, the SSO will suggest a referral and it is your responsibility to act on this. This referral will involve:

  • The Student Support Officer explaining the referral process to you, completing a section of a referral form and obtaining consent from you to share information/outcomes with staff on a need to know basis (Student & Academic Services staff, Exceptional Factors panel/Chair and the exams team).
  • The referral form will be sent to the Counselling, Health & Wellbeing Service and you will be expected to make contact in person or via phone. You can access this service at 10 to the hour or at their ‘Open Door’ service, which is available most days at 1.00 – 2.00pm. Outside of these times is dependent on staff availability.
  • On speaking to you, the Counselling, Health & Wellbeing Service will endeavour to assess your situation and advise accordingly e.g. give you coping strategies or suggest a referral to your GP. This will be a quick assessment and with your consent, the outcome will be communicated to the Learner Development and Disability Service who will retain and dispose of the information on completion of your course. The copy shared electronically with essential staff in Student & Academic Services and the Exceptional Factors panel, will be destroyed once the Faculty Exceptional Factors and Assessment Review Panels have been conducted.
  • In exceptional cases, exam adjustments may be recommended and the exams team will endeavour to put in place any agreed adjustments, however, this may not be possible if there is insufficient time/resources to do so.

Long standing conditions

If you have a ‘longstanding’ condition (has lasted or is likely to last more than 12 months) and you have not disclosed this to the Disability Service, please contact the Disability Service, even if you do not have the relevant evidence to hand. The Disability Service can work with you and provide the necessary support and guidance. To meet the legal definition of disability you must have a physical or mental impairment that has a ‘substantial’ and ‘long-term’ negative effect on your ability to do normal daily activities.

Exam adjustments for disabled students will be through a Personal Learning Plan.

Cheating in examinations

Everyone knows what cheating in examinations is. It comes in many forms, such as copying, using crib notes or a mobile phone, or attempting to communicate with other students. Even possessing crib notes that you do not use is regarded as cheating. The exam invigilators have been trained to spot the tell-tale signs and often other students will report if they see someone cheating, so please don’t try it. You will be letting yourself down.

If you are caught cheating in an exam, this will be considered as a serious disciplinary matter.

Planning your Summer Vacation
if you have re-assessments

Details of re-assessments for coursework/assignments are available in the relevant unit area(s) of Moodle. This is also where you will find details of any re-assessments for laboratory or other practical work.

Going home for the summer, participating in work experience or other activities like Camp America, will not be accepted as an excuse for missing re-sits or the submission date for re-assessment coursework, no matter how valuable you think they are.

Ensure you have access to the internet so you can check your University email and Moodle.

Useful Links

Over the assessment period the Counselling, Health and Wellbeing Service can help students with issues like relaxation and managing anxiety. Have a look at their programme for relevant courses and workshops such as ‘Managing Anxiety’, ‘Mindfulness’ and ‘Sleep’. You don’t need to book a workshop, you can just turn up. If you still need to see a counsellor please contact the service.

The Students Union Advice Centre offers help and support on all the main issues affecting students at MMU. It is a specialist, independent unit whose aim is to ensure that your time at university is not lessened through a lack of support or knowledge of your rights. It can also represent you at meetings and hearings, resources permitting.
