Collaborating on projects: Office 365 groups

An Office 365 Group lets you choose a set of people to collaborate with on a project, and create a set of resources for you to share, such as a document library, shared email inbox, and calendar.

Groups are only intended to exist for the lifecycle of a piece of work or project.

The sections below contain information on creating, managing, and accessing a group.

Create or access a Group

  1. Log into office365.mmu.ac.uk using your University ID in the format [email protected] and your University password
  2. Once you have logged in, there will be a side menu called ‘Groups’ with links to ‘Discover’ or ‘Create’ Groups.

Name your group

  • Choose a sensible name that is related to and summarises the function and purpose of the group. Certain words are blocked from being used in group names.
  • All groups created from 7th March 2019 will be prefixed with ‘grp-‘.
  • All groups created by students will automatically be suffixed with -STUDENT.

Group access and privacy

  • Office 365 Groups can be public or private and users outside the University can be invited to join a group.
  • Staff and Students can see who is a member of both public and private groups.
  • All groups are set to private by default. This means only approved members can see what’s inside the group.

Group ownership

An Office 365 group must have at least one owner. We would advise having two owners.

Responsibilities of an Office 365 Group Owner:

  • Adding and removing group members
  • Setting up the group and associated settings, including sharing
  • Choosing a suitable name for the group
  • Deleting the group when it is no longer required
  • Respond to the group expiry emails.

Expiration of Office 365 groups

The lifespan of an Office 365 Group is set to six months from the creation date.

Group owners are notified 30 days, 15 days and one day before expiration and have the option to extend the lifespan of the group.
